Clear, Fair, and Consistent Guidelines for a Positive Leasing Experience
At CollaboRENT Property Management, strong rental relationships begin with clear expectations. Our rental policies are designed to ensure fairness, consistency, and legal compliance for both tenants and property owners. By outlining requirements upfront, we eliminate confusion and create a smooth, transparent leasing experience from application to move-out.
Application & Screening Requirements
All tenants must meet CollaboRENT’s minimum qualification standards before being approved for a rental home. These requirements ensure responsible occupancy and reduce risk for both the tenant and the owner.
Required for All Applicants
- Picture ID is required for all showings and applications.
- $30.00 application fee required prior to processing of rental application
- Each applicant must qualify individually unless they are married.
- Applications must be filled out completely and signed by individual or both married spouses.
- Student rental applications with no prior rental history will be required to have a cosigner.
- All applicants under 21 will be required to have a cosigner.
- Approved rental applications will hold the rental unit for 24 hours, for applicant(s) to sign lease agreement, after 24 hours we will continue to market the property for rent.
- Applicants must be at least eighteen (18) years old to enter into a lease agreement.
- Pet fees (for approved location’s only) are required at time of lease signing.
- Three years verifiable residence history from a third party landlord is required or a cosigner may be required.
- Home ownership shall be verified by submission of a tax assessor’s statement or by credit report.
Cosigner Requirements
Cosigners must demonstrate strong financial stability. In most cases, cosigners must demonstrate at least 5× monthly rent in incomeand meet credit requirements.
24-Hour Hold Policy
Approved applications hold the selected property for 24 hours. During this period, the lease must be signed to secure the home. If the lease is not signed within this timeframe, the unit will be returned to active listing.
Rental History & Automatic Denials
Rental history plays a vital role in approval. We verify past residency and evaluate rental behavior to ensure responsible tenancy.
Applications may be denied for the following reasons:
- One (1) or more three-day notice (pay rent or vacate) from a past landlord will result in denial.
- Two (2) or more NSF checks in the past two years will result in denial.
- Rental history reflecting any unpaid past due rent or damage balances owed to past landlords or management will result in application denial.
- Any past unlawful detainer action or eviction will result in denial.
- Any rental history upon which the previous landlord or management refuses to re-rent to the applicant will result in denial.
- Rental history reflecting property damages, not paid for, will result in denial
- Rental history reflecting past disturbance of the peace complaints may result in denial.
- Rental history reflecting pet violations will result in denial.
Automatic Application Denials:
- Collection efforts filed by past landlord or property management companies.
- Any past unlawful detainer action or eviction.
- Incomplete or unverifiable information on rental application.
- Discrepancies between rental application and verified information
- Any rental history upon which previous landlord or management refuses to re-rent to applicant(s) will result in denial.
Income Guidelines
- Income guidelines may be waived for full time student applications or a cosigner may be required.
- Monthly gross income must be at least three (3) times monthly rent.
- If the gross monthly income does not equal at least three (3) times the monthly rent an additional one month’s prepaid rent or qualified cosigner may be required.
- A cosigner's income should equal five (5) times monthly rent.
- Unemployed individual(s) applications will need to provide some form of verifiable income source.
- Tax returns, bank statements, paychecks, or employer confirmation are acceptable income verifiers and must be submitted with application.
- Non-married roommates are jointly and severable (individually) liable for all rents due on rental unit
Credit Requirements:
- Good credit is favorable, but not required.
- The non-existence of a credit rating may result in a denial or require a lease cosigner.
- Outstanding bad debt(s) being reported on a credit history report may result in denial or require an additional month(s) prepaid rent.
- Collections on credit reports may result in denial or require an additional month(s) prepaid rent.
- Non-discharged bankruptcy(s) & Discharged bankruptcy(s) on credit report may result in denial or an additional month(s) prepaid rent. Please disclose if you have filed for any type of bankruptcy before filling out an application!

Move-In, Move-Out & Damage Assessment
All tenants must meet CollaboRENT’s minimum qualification standards before being approved for a rental home. These requirements ensure responsible occupancy and reduce risk for both the tenant and the owner.
Normal Wear and Tear (Owner Responsibility)
- Faded Paint. Paint may have a "useful life of 2-3 years, depending on who you ask. However, we use good paint, so if the walls are dirty, that is your dirt, not wear and tear. Wiping down the walls works well.
- Old, worn carpet when you moved in, or furniture marks in the carpet. The natural wearing down of carpet or drapes because of normal use or aging. NOTE: You are responsible for shampooing the carpet when you leave, because it was shampooed before you moved in.
- Worn hinges on doors or locks.
- Broken plumbing pipes, unless you damaged them. Central drain problems, not caused by your incorrect disposal of items. Older homes with old sewer lines may get roots growing through them, clogging the system.
- Dirty Blinds - as in dusty.
- Worn finish on wood floors
- General dust in the apartment. Be sure to clean behind the sofa and under.
- "Faded" curtains/blinds that were in the unit when you came. However, to remove curtains that you placed and did not remove, you may be charged.
Tenant-Caused Damages (Resident Responsibility)
- Tear in carpet, animal stains (even if landlord knew you had a pet). Burn marks - iron, cigar, cigarette, ground in stains.
- Doors with holes. Doors or windows are broken. Glass, etc.
- Clogged drains are caused by your misuse of sinks or toilets. If you are a woman, be sure to remember to dispose of feminine products in the trash, not the toilet. Cat litter NEVER goes in the toilet.
- Broken or missing blinds or curtains. If they were there when you moved in, they must be there when you leave. If you do not want them, discuss this with your landlord.
- Eliminating Flea infestations caused by tenants' animals. The same applies to smoke damage from smoking or burning candles.
- Excessive Bathroom mildew. Use a good cleaning product like Tilex or Spray 409 weekly. Use the ceiling fans or windows to vent moisture
- Scratches/gouges in wood floors caused by improperly protected furniture legs
- Broken shelves in a refrigerator. Excessive dirt/dust in the refrigerator vents. This is the area under the unit. Be sure to vacuum to improve the performance. Every time you vacuum, vacuum around the unit,
Move-in inspections, documented photos, and move-out assessments ensure accuracy and transparency for all parties.
